Next to the regular checks in the greenhouse there is a second stream of work: sweeping the shed, cleaning the hygiene lock, restocking clothing, cleaning the lifts, and so on. Those tasks are usually tracked on notes, whiteboards, diaries and in Excel files. Who did which task when is often hard to trace afterwards. Our experience is that it gets left as soon as someone is off for a day, until somebody happens to notice.
Every routine task is recorded once with a frequency running from daily, weekly and monthly to yearly, and fixed times of day if wanted. Per task you record who is responsible, who carries it out and who the backup is. The system looks at clock-ins: if the person doing it isn't there, the task goes to the backup, and if they aren't present either, the task lands with the person responsible. You can attach a work instruction to a task: text, a photo, a document or a video. This makes sure everyone does it the same way. The foreman also keeps his own list of ad-hoc tasks, and a manager can add a task to it.
If someone keeps slipping on the same point, extra coaching kicks in automatically.
